1) Who we are

MyVHR is a web and mobile application for managing properties, availability, reservations, tasks, team access, and related operational information for short-term rental accommodation.

2) What data we process

• Account data: email, nickname, password hash.
• Quick Code (PIN): stored as a hash (we do not store the PIN in plain text).
• Device data: device identifier/token (e.g., for “remembered device” and/or notifications) when you enable these features.
• Technical data: IP address, access date/time, basic browser/device information (for security and diagnostics).
• User-provided content: information you enter in the app (e.g., property/reservation details, notes, tasks, etc.).
• Email: the email used to make a registration.

3) Why do we need it and how it will be used?

• Creating and managing your account.
• Login and protection against misuse.
• “Remembered device” and Quick Code (PIN) login (optional).
• Notifications (optional) – only if you enable them on your device.
• Support, diagnostics, and service improvement.
• The registration email may be used to inform you of important changes to the software, whether related to security, functionality or otherwise, which you need to know about in order to use the services safely, fully and correctly. The registration email may also be used for marketing purposes, solely related to other similar, related or complementary services offered by us. It will not be provided to third parties except in cases where the law explicitly obliges us to do so.

4) Cookies

We use cookies necessary for operation and security. The main ones are:

• Session cookies – required for login and your session.
• “Remembered device” cookie – only if you choose “Remember this device”, to enable Quick Code (PIN) login.

You can delete or block cookies in your browser settings, but this may limit certain features (e.g., login/session or Quick Code login).

5) Legal basis

• Contract / pre-contract steps – to provide the service.
• Consent – when you explicitly enable optional features (e.g., remembered device/PIN, notifications).
• Legitimate interests – security, abuse prevention, and protection of the system.

6) Who we share data with

We do not sell personal data. We may share limited information only with service providers that support the operation of the service (e.g., hosting/infrastructure, email services, notification services) under appropriate security measures and contractual obligations. We may also disclose data when required by law or upon a valid request from a competent authority.

7) Retention

We keep data while your account is active and as long as needed to provide the service and ensure security. Security logs may be retained for a limited period (e.g., up to 36 months), unless the law requires otherwise. Limited retention in backups may also occur for a short period until backup rotation deletion.

8) Your rights

• Access – receive information about the data we process about you.
• Rectification – correct inaccurate data.
• Erasure – request deletion when legal grounds apply.
• Restriction – request restriction of processing in certain cases.
• Portability – where applicable for data processed on contract/consent.
• Objection – object to processing based on legitimate interests where applicable.
• Withdraw consent – when processing is based on consent (does not affect prior lawfulness).

To exercise your rights: support@myvhr.net. The usual response time is up to 1 month, and may be extended where permitted by law. You also have the right to lodge a complaint with the competent data protection authority.

9) Security

We apply reasonable measures to protect the information we store, including hashing passwords/PINs, access controls, and other organizational and technical safeguards. We continuously work to reduce the risk of data loss or unauthorized access.

MyVHR does not require or store login credentials for other platforms (e.g., passwords for external listings), unless explicitly stated otherwise for a specific integration feature.

10) Payments

We do not accept payments directly through this website. If paid plans are offered, payments are processed by external systems/operators (e.g., app stores). We do not request, receive, or store credit card or bank account details.

11) Account deletion

You may request deletion of your MyVHR account and associated personal data directly from your account management menu in the application or by emailing us at support@myvhr.net. Please include the email address associated with your account and, if possible, the reason for your request. We may ask for additional information to verify that the request is made by the account owner. When your request is confirmed, we will delete or anonymize the relevant personal data unless we are required or permitted to retain certain information for legal, security, fraud-prevention, billing, backup, or compliance reasons. Where retention is required, we will keep only the data strictly necessary for that purpose and for the period required by applicable law or legitimate operational necessity. If you have an active paid subscription through Apple App Store or Google Play, please cancel the subscription through the respective store first, if required, before requesting account deletion.

12) Changes

We may update this policy. Any changes are published in the app and take effect from the time of publication.
